Description:
The purpose of this Request for Information (RFI) is to acquire information regarding service level and royalty program options that are available in the marketplace and develop an appropriate solicitation, if determined by UB that is an appropriate step. THIS IS NOT A BID.
The objectives of this RFI are to:
- Develop a general understanding of vendor system features and capabilities across the marketplace.
- Obtain vendor feedback regarding deployment models, leading practices and pricing structures to assist development of a bid document if UB determines a bid is appropriate.
- Solicit vendor’s perspective on best practices for adopting such a platform.
- Identify future directions for programming technology and appropriate timelines.
- Identify any equipment requirements and associated service and support options for that equipment.
SCOPE OF REQUEST
The scope of this RFI is to collect information on the provision of
?? 1. Marketplace Dashboard
- Real-time listing of available surplus items.
- Search and filter by category, condition, location, etc.
- Featured or newly added items section.
?? 2. Item Listing Portal (Self-Serve)
- Users can add items to the marketplace with the following fields:
- Title
- Description
- Dimensions (L x W x H)
- Category (Furniture, Electronics, Lab Equipment, etc.)
- Condition (New, Like New, Good, Fair, Needs Repair)
- Contact Information (Name, Email, Dept.)
- Asset Tag # (optional if applicable)
- Location (Building, Room #)
- Weight
- Photos (upload with up to 10 images)
- Quantity Available
- Ending Posting Date
?? 3. Item Detail Page
- Expanded view with full metrics.
- Carousel or gallery for photos.
- "Reserve" or "Request Pickup" button.
- Contact poster option.
?? 4. Reservation & Order System
- Option to:
- Reserve items.
- Request delivery (if provided by campus services).
- Mark items as "Picked Up" or "Claimed."
- If items are not claimed by posting end date have posting inactivated or removed.
?? 5. User Roles and Permissions
- Login using campus credentials (SSO).
- Roles:
- Regular User: Can post, reserve, and view items.
- Department Admin: Approves listings for their department (if needed).
- Surplus Manager: Full access to manage, archive, and report on listings.

- Item analytics (views, reservations, time on site).
- Category distribution of items.
- Number of items reused total estimated cost savings for sustainability reporting
- Reports by department.
