Description:

The purpose of this Request for Information (RFI) is to acquire information regarding currently available professional services and cloud-based infrastructures that can host and foster the maturation of the University’s enterprise content management system and its robust user base. THIS IS NOT A BID.

The objectives of this RFI are to:

  1. Develop a general understanding of vendor capabilities with respect to migrating a mature, heavily-used, large tenant content management system into a cloud-hosted infrastructure;
  2. Obtain vendor feedback regarding the migration process and steps to concurrently manage the existing on-premises UBCMS environment while “spinning up” an enterprise cloud-hosted environment that will minimize disruption, allow for unfettered business continuity, and ensure a seamless cut-over at the conclusion of implementation;
  3. Solicit vendors’ perspectives on best practices for migrating to a cloud-hosted enterprise content management infrastructure;
  4. Understand vendors’ strategy and best practices for migrating heavily-customized Adobe Experience Manager environments while fully preserving custom-developed components, workflows, integrations, and ensuring continuity of user experience;
  5. Better understand how a new cloud-hosted infrastructure can enable UB’s heavily-customized content management system to evolve and provide system users with leading-edge features and new functionality without overwhelming users, or necessitating extensive retraining;
  6. Identify future directions for enterprise content management systems;
  7. Understand any additional requirements and/or associated services and support options for the system migration and new hosting infrastructure.

SCOPE OF REQUEST

The scope of this RFI is to collect information and recommendations on the migration and integration of the University’s enterprise content management system (the UBCMS) to a best-in-class cloud CMS solution. The University further seeks to understand vendors’ strategy and best practices for migrating heavily-customized Adobe Experience Manager environments while fully preserving the functionality of the custom-developed components, workflows, integrations, and ensuring continuity of user experience. Given the significant scale, complexity, and extensive customization of the existing Adobe Experience Manager-based CMS environment, the University seeks cloud migration solutions specifically designed to leverage and preserve the substantial investments made in the current platform. The scope must document the professional services required for migrating UB’s existing on-premises system to the vendor’s proposed platform and associated infrastructure, with considerations responsive to the requirements detailed in Section B in subsequent pages of this document. Representative pricing should be provided, including the vendor’s solution pricing model (with quotes), initial migration costs, year-over-year costs, predicted price escalations (based on recent historical increases/adjustments).
