Camps Management System

The New York State Department of Environmental Conservation (Department or DEC) is seeking a qualified Contractor to implement and maintain an online camp registration and management system for its environmental education summer camp program. The program provides an opportunity for up to 1,700 children ages 11-17 to experience a week immersed in the natural environment. Presently, the Department’s staff in Albany manages four environmental education summer camps across New York State. There is a possibility that additional camps could be added in the future. Each summer, it is the Department’s goal to fill all available camp sessions with eligible youth through the camp registration process. Once registration is complete and camp is in session, camp staff manage six to eight one-week sessions at their respective camps.

The Online Environmental Education Summer Camp Registration and Management System (System) must be able to allow a camper to be registered, process payments, provide a management site with built- in and customizable reporting, provide Department staff technical support and training, and must be accessible by the Department’s Central Office authorized users in Albany, NY and at all Environmental Education Camps in addition to other mandatory System requirements detailed herein.

Offerors shall adhere to the NYS Department of Environmental Conservation Guidelines Regarding Permissible Contacts During a Procurement and the Prohibition of Inappropriate Lobbying Influence.
